Sales Transaction Details report
This is a report that shows you every line in every transaction that was done at a specific store or all stores on a specified date(s). It has the highest number of available columns and therefore is the most reliable and informative source of details and facts regarding the transactions done at your registers.
To access it, you can go to Reports - Sales folder - Sale Transaction Details (below Sales by Product and above Sale Transaction Summary reports).
There are following filters:
Report Date: (by default it has MtD date range selected but you are welcome to choose any other prescribed range or use Custom to set up your own unique date range)
NOTE: The dates range for this report cannot exceed 45 days.
GP (Gross Profit) by Transaction Date/Service Date. By default, it is Transaction Date since Service date and the discrepancy it may create between the date of sale and date of service start refers only to activation sales, while this report is designed for all sales including regular items.
Locations (choose one, all or specify the stores manually checking them and unchecking others)
Salesperson (choose one, all or specify the sale reps manually checking them and unchecking others)
Once you finish applying these general filters hit OK and wait until the report is generated.
NOTE: slow web connection and/or poorly maintained PC that is underperforming may heavily influence the time of report generation especially since it is such a volumetric one like STD report and if wider filter values are chosen (e.g. All locations, All salespersons, date range of a month)
Once it is generated, you would see the report results. It has next columns:
Transaction date with exact timing;
Transaction ID that you could use to look up the sale in other reports or in Sales Log Viewer (search by receipt ID)
Trans type (whether it was a sale, a return, an exchange)
Product description (taken from product details page in product editor BUT if it was modified in the cash register by sale rep it would appear there instead of default description)
Qty (of the certain item on the certain transaction)
Unit Cost (cost with which this item was set in product manager)
Unit price (retail price you have set for that product in product manager)
Extended cost (cost with which this particular item was received in inventory)
Extended price (final price for that item on that transaction after discount)
GP (Gross Profit - the difference between ext cost and extended price).
IMPORTANT NOTE: If your item's cost is higher than it's extended price the GP for that item will be negative! (in blankets)
Amount Collected: extended price + tax = basically the money you got from customer
Voided (if no - empty, if yes - yes)
Mobile: Mobile phone number of the customer
Serial 1: serial number of the item sold
You can group the report by any column header and filter out by any of minor filters(pin symbol on each column) for your convenience. To group a report by certain column name, let's say by Salesperson, one left click and hold on the column name Salesperson and drag to the top level over the column line (see picture attached)
You can filter any column data based on one or many results present in that column. The list of these results is under the little pin symbol which you can see on any column name. (see picture attached)
To access hidden columns go to the top right corner of that report window and hit downwards arrow symbol, then go to Modify - Show/Hide column, a pop up window with a list of additional columns, will appear. Among them, you can find department and category columns that can be quite useful in filtering out lines for sold items belonging to a particular category.
If you need to apply general filter (e.g. store, sale rep, modify date range) choose Filters option in the top right corner of the report window.
